2025 ASHE Region 6 Sponsor/Exhibitor Terms and Conditions

This agreement, when submitted by sponsoring and/or exhibiting company, shall constitute a valid and binding contract. ASHE Region 6 reserves the exclusive and total right to control all aspects of the conduct of this event; specifically, it reserves the right to determine the eligibility of any sponsor for inclusion in conference sponsorships and exhibits. Sponsorship/Exhibit requests may be refused or restricted due to space limitations or other reasons determined by ASHE Region 6. ASHE Region 6 also reserves the right to render all interpretations and decisions, should questions arise, and to establish further regulations as may be deemed necessary to the general success and well-being of the sponsorships and conference. Conference management’s decisions and interpretations shall be accepted as final in all cases. The acceptance of this contract does not carry nor imply endorsement of the product or service by ASHE Region 6.

Any person executing this agreement represents that he or she is fully authorized to do so by your organization and agrees to be bound to all terms and conditions upon submission of the online sponsor/exhibitor agreement form. Submission of the form signifies that you agree to participate as a contributing sponsor or exhibitor for the 2025 ASHE Region 6 Annual Conference. Breaches or infractions of these rules may jeopardize the right to sponsor at future conferences hosted by ASHE Region 6.

Payment: Payment to secure a sponsorship or exhibit space must be received within 30 days of invoice.

Checks should be made payable to ASHE Region 6 and mailed along with a copy of your invoice to: ASHE Region 6, PO Box 2329, Leander, TX 78646.

Cancellation/Refund: Cancellations must be made in writing to [email protected]. No cancellations will be accepted over the phone. Cancellations are effective on the date written notification is received by ASHE Region 6. A fifty percent (50%) refund will be given for cancellations received before February 21, 2025. No refunds will be granted for cancellations received after February 21, 2025. Sponsors who do not provide written notification of cancellation and do not attend the event will be responsible for payment in full and may jeopardize the right to sponsor future events.
Benefits: Benefits of the ASHE Region 6 Annual Conference are subject to print and name submission deadlines. Benefits are not transferable and are not redeemable for cash credits. Sponsorships are awarded on a first-come, first-served basis; based on the date the contract is received by ASHE Region 6, the date of full payment received by ASHE Region 6, and the availability of requested sponsorships. ASHE Region 6 reserves the right to change, cancel or substitute sponsor benefits, as it may deem necessary and equitable.
Liabilities: The sponsor or exhibitor, by completing this agreement, agrees to hold harmless and indemnify ASHE Region 6, CMP Management, the Mayo Civic Center, and their respective employees and representatives, for any and all damages to its property that sponsors may suffer as a result from its exhibiting and sponsoring at this conference. Sponsor will be held responsible for any damage done to the building by it, its employees, its agents, or its independent contractors. ASHE Region 6 will not be liable for failure to hold the Conference as scheduled. Sponsorship payments will be returned in the event of cancellation, except that any actual expenses incurred or committed in connection with the conference will be prorated and deducted if the conference is canceled because of fire, an act of God, the public enemy, strike, epidemic, or any law or regulation of public authority which makes it impossible, or impractical or illegal to hold the conference. The liability of ASHE Region 6 for any act, error or omission for which it may be legally responsible shall not exceed the cost of any cash payment. ASHE Region 6 will not, in any event, be liable for consequential damages, including but not limited to, lost income or profits.
Security: Please ensure your exhibit contents are secure as the exhibit hall is not monitored by security and ASHE Region 6 will not be held liable for any lost or stolen goods.
